Weekly planning in ten minutes
A simple ritual that keeps the whole team on the same page without another meeting.

Most planning meetings run long because nobody knows the state of the work before the meeting starts. Fix that first and the meeting almost disappears.
Update before you meet
Ask every owner to update their projects on Friday afternoon. The overview screen then shows what moved, what stalled, and what is new.
On Monday, the team only discusses the stalled items. Everything else is already clear.
Keep one list of priorities
Pin the three most important projects for the week. If something new comes in, it replaces one of them. It never becomes number four.
